Student Accounts Manager

The Student Accounts Manager oversees the Student Accounts department which is charged with servicing all college tuition and loan accounts, and supporting new, continuing, and alumni students with excellent customer service while working to minimize default rates and bad debt. The Manager heavily utilizes systems and databases to achieve the objectives of the role. The Manager communicates financial-related topics to a variety of audiences. This position requires a dynamic individual who can effectively communicate with students, faculty, and staff while managing various administrative tasks. The Student Manager will oversee student services, assist with financial analysis, and ensure smooth operations within the educational framework.

Students take classes in Art, Dance, Design, Film, Music, Performance Production, and Theater. It is known for its faculty of practicing artists who bring the arts to their students through hands-on work.

Responsibilities

Manages all aspects of student accounts for the undergraduate and non-matriculated programs, including:

  • Advising students and parents regarding college financial situations with a firm yet compassionate approach
  • Administering monthly payment plans for all programs
  • Negotiating deferred tuition contracts for past due accounts
  • Applying financial aid to students’ accounts within regulatory guidelines
  • Disbursing financial aid refunds to students and parents within regulatory guidelines

Develops and administers student account and bad debt policy and procedure, including:

  • Creating account billing schedules
  • Determining billing policy, late fee and refund schedules
  • Tracking past due accounts and strategizing appropriate actions to take, such as contacting collection agencies

Manages and updates the Student Accounts Office database within the college system in order to:

  • Charge students tuition and fees accurately for registered courses
  • Refund students appropriately for courses dropped
  • Accurately report all collections to the Finance Office
  • Manage meal plans and housing payments

Collaborates with the College’s Financial Aid Office to monitor compliance with government and private lending regulations.

Supervises Student Accounts staff including:

  • Hiring and training staff
  • Establishing work schedules and approving timesheets
  • Conducting annual performance reviews

Analyzes all withdrawing students’ situations for the Department of Education Refund Recalculation Function.

Other duties as assigned.

Supervises: Student Accounts Coordinator, Work study students
Pay Grade: Non-Exempt; Full-time
Compensation: $32.20 hr.-$33.65 hr. / $67,000-$70,000 per year

Minimum Qualifications

  • Five years progressive accounting and/or related experience.
  • Experience in Microsoft Office with strong database management and advanced spreadsheet skills
  • Excellent written and verbal communication skills
  • Strong collaboration and interpersonal skills
  • Self-motivated, well organized, detail-oriented and able to handle multiple tasks under tight deadlines
  • Able to work effectively with a diverse population
  • Ability to maintain confidentiality
  • Must pass background check

Preferred Qualifications

  • Knowledge of financial aid process
  • Experience in collections or as an account representative
  • Experience in database design
  • Experience with Jenzabar software
  • Knowledge of bursar guidelines for federal aid
