Reports to Department Chair

Supervises Work Study Students

Pay Grade Exempt, Full- Time


Provides organizational and administrative support to the department and provides information and resources to staff, faculty, and students.

Job Responsibilities

1. Provides administrative support to ensure department operates effectively and efficiently:

  • Coordinated with Chair and Registration to assemble Schedule of Classes for H&S Department
  • Coordinate with Registration on room and capacity for building Schedule of Classes
  • Maintain department budget records
  • Assist in recruiting and staffing processes 
  • Monitor H&S presence in publications: website, catalog, view book, etc.
  • Coordinate use of rooms/space capacity with Registrar and other departments
  • Assist faculty & chair in processes for student outcomes assessment 
  • Conduct department research for curriculum development, grant opportunities, and pedagogical resources
  • Coordinate with IT and faculty on departmental instructional technology: PCs, AV equipment, Canvas/LMS, and other such tools  
  • Address minor computer problems and coordinate help/service with IT dept.
  • Complete and circulating minutes for departmental meetings and retreats 
  • On-boarding new faculty to the department in collaboration with HR 
  • Maintain H&S faculty handbook 
  • Process textbook orders
  • Copying, distributing, and compiling syllabi and course evaluations
  • Communicate important reminders and dates 

2. Ensures departmental communication is prompt, accurate, and shared with college constituents:  

  • Perform general office management 
  • Direct student and faculty concerns to appropriate individual or office
  • Serving as a liaison for H&S Department with other departments and college administration offices
  • Respond to and directing external queries about department
  • Respond to student academic inquiries about registration, requirements, processes or procedures; directs students to chair for academic advising

3. Assists in coordinating Integrated Studies (IS) program by:

  • Support department in coordinating IS meetings, providing resources, supporting faculty and students
  • Assist in first-year student registration/section assignment
  • Coordinate student portfolio review
  • Serve as liaison between faculty and other components of IS program 
  • Assist in IS event planning

4. Complete other duties as assigned by supervisor.

Minimum Qualifications

  • Associate’s degree or equivalent experience
  • Three years relevant administrative support experience 
  • Proficient typing and intermediate to advance use of Microsoft Office, Google Products
  • Strong communication and organization skills
  • Ability to work collaboratively with multiracial, multicultural study body, faculty, and staff and support a positive and diverse culture in the college
  • Ability to self-manage
  • Ability to be dynamic and respond to last minute changes
  • Ability to maintain confidentiality
  • Occasional light lifting

Preferred Qualifications

  • Bachelor’s degree
  • Administrative support experience working in higher education, not-for-profit, or arts environment
  • Experience using Learning Management Software
  • Experience using systems technology or tools, such as EMS, BudgetPak, and others
