Administrative Assistant - Music

Pay Grade: B, Non-Exempt
Work Schedule:
Half-time; year-round
Purpose:
Provides organizational and administrative support to the Department Chair, Department Administrator, faculty, and students. Assists in the daily operation of the Music Department.
Responsibilities:
1. Provides departmental administrative and clerical support by:
- managing all aspects of daily operations such as correspondence, typing, filing, faxing, copying, phones, office supplies, equipment, room schedules, inventory, work orders and keys
- maintaining departmental records such as class syllabi and memos, current and prospective student files, and faculty, student, and alumni databases
- assisting department administrator in processing purchase orders, new hire paperwork, staff timesheets, faculty leave and project forms
- assisting department administrator in maintaining flow of department calendars, policy documents, college and departmental forms
- distributing, collecting, and processing course evaluations
- overseeing the music department bookstore on Amazon.com, including obtaining all textbook selections from faculty
- attending monthly faculty meetings, recording minutes from the meetings, distributing minutes to faculty
2. Assists the Music Department Administrator in providing internal and external communication including:
- acting as liaison with College administrative and department offices
- responding to inquiries concerning departmental activities and functions
- initiating communication via email, flyers, semester and monthly calendars and memos concerning upcoming events and deadlines
- maintaining department mailing and e-mailing lists; updating website content
- overseeing the Music Department's online calendar of events as well as updating the Department's Facebook page
3. Assists in managing department's work study program including:
- Recruiting, scheduling and supervising work study students, including design students responsible for publication of all online and printed materials
- Collecting and organizing timesheets for approval by department administrator
4. Assists the Department Administrator by:
- Updating room schedules for posting (faculty studios, practice rooms, classrooms, and rehearsal space)
- Arranging for supplies and catering for meetings, retreats, and Scores of Sound
- Referring public inquiries regarding volunteer, teaching, and performance opportunities to students, alumni, and faculty
- Organizing junior and senior recital paperwork and information
- Coordinating administrative aspects of the summer program including returning emails, phone calls, and facilitating registration
5. Other duties as assigned
Minimum Qualifications:
- Bachelor's degree plus one to two years relevant experience, or equivalent combination of education and experience
- Fluent with Microsoft Office Professional software suite including extensive working knowledge of Word, Excel, Outlook, and Access
- Experience using web-based social-networking and communications applications
- Excellent written and verbal communication, organizational, and prioritization skills with excellent attention to detail
- Self-motivated, responsible and able to work with a minimum amount of supervision
- Ability to maintain confidentiality
- Ability to relate well with a variety of individuals and a diverse campus community
- Ability to work under deadline with many interruptions
- Must pass background check
- Occasional light lifting required
Preferred Qualifications:
- Bachelor of Music degree
- Experience working in a higher education or not-for-profit arts setting
- Good writing and editing skills
- Experience with Adobe Acrobat, Publisher, and HTML
