Assistant to the President
Department: Office of the President
Reports To: Executive Assistant to the President
Supervises: Work Study Student
Pay Grade: D, Non-Exempt, Part-time (24 hours/week)
Purpose: Under the direction of the Executive Assistant to the President, supports the mission and goals of the Office of the President.
Responsibilities
- Works directly with the President:
- processing correspondence and e-mail, including dictation
- organizing internal and external meetings
- updating the President’s calendar
- Provides general support to the President and the Executive Assistant to the President including:
- serving as the primary receptionist for the Office of the President
- acting as the first person of contact to internal and external populations
- maintaining all general office supplies for the office
- performing all of the President’s filing
- Shares the responsibilities of the Executive Assistant to the President, effectively responding to all needs of the Office of the President in the absence of the Executive Assistant. Works directly with the President and the Executive Assistant on matters of the highest confidentiality.
- Works in an effective and confidential manner with the Board of Trustees and the President’s Cabinet, and takes minutes for the Board of Trustees and the Cabinet at the request of the President or Executive Assistant.
- Coordinates the annual President’s Annual Holiday Celebration, the President’s Annual All-Student Luncheon, and other Office of the President functions.
- Assists the Executive Assistant on research, records upkeep, and documentation, including the Archive Project and Board of Trustee records.
Other duties as assigned by the Executive Assistant to the President and the President.
Minimum Qualifications
- Bachelor’s degree plus two to three years experience in increasingly complex and challenging staff support and program administration; or equivalent combination of education and experience
- Excellent communication, organization, prioritization, and word processing skills (65 wpm); Excellent dictation skills
- Ability to handle highly confidential material and information
- Ability to manage diverse tasks while meeting deadlines
- Ability to work diplomatically with a variety of populations and to represent the Office of the President in a professional manner at all times
- Excellent proofreading skills and problem-solving capabilities
- Ability to rapidly change focus and support a variety of hands-on situations
- Proficiency with Microsoft Office
- Occasional light lifting
Preferred Qualifications
- An understanding of the role of arts education and arts advocacy
- Experience in a higher education, not-for-profit, or arts setting
